How to increase the productivity of your workplace: tips and tools
According to research published in the Journal of Neuroscience, productivity directly depends on the workplace. For example, clutter on the desk negatively affects concentration and other cognitive functions of our brain. That's why injobe.com has prepared tips and tools for you to increase workplace productivity.

1. Organise your workspace

  • Remove the excess:Do you remember the saying "order on the table is order in the head"? It turns out that the phrase is not without meaning. So, regularly remove unnecessary documents, objects, and garbage.
  • Systematise things: "Put everything on the shelves" is also a familiar expression. Use trays and shelves to store documents, stationery, and other essentials.
  • Personally analyse the space: Create a comfortable and inspiring atmosphere. The journal Human Factors has published research that shows that personalising your workspace can increase job satisfaction and productivity. So, add elements that inspire you and create a comfortable atmosphere. These can be photos, plants, or other things that are symbolic to you.
  • Provide comfort: According to OSHA ergonomic research, a comfortable chair, adequate lighting, and optimal room temperature prevent physical discomfort and increase productivity. Check regularly to see if your workplace is ergonomically right for you, as physical comfort directly affects your ability to concentrate.

2. Plan your working day

  • Create a task list: If you plan and create task lists, it will help reduce the feeling of being overwhelmed and increase your efficiency. Make a list of tasks at the beginning of the day, and prioritise them by identifying the most important and urgent ones.
  • Use time management techniques: - The Pomodoro technique is essential for improving concentration and time management. Work intensely for 25 minutes and then take short 5-minute breaks. After four of these cycles, take a long break (15-30 minutes).
     - Time blocking helps you better control time and avoid multitasking, which, according to research by the American Psychological Association, can reduce productivity. So, divide your working day into time blocks to complete specific tasks.
  • Use online calendars and scheduling apps: This will help to significantly increase productivity and teamwork efficiency. Ukrainian IT professionals actively use and recommend these tools to optimise workflows. Google Calendar, Trello, Asana, or Todoist help organise schedules, set reminders, and track task progress.

3. Minimise distractions

  • Disable notifications: Research from the University of California shows that constant email and social media notifications are among the top distractions in the workplace, leading to lower productivity. Therefore, turn off notifications on your phone and computer that are not critical to your work:
  • Use headphones. It may sound strange to some, but Ukrainian office workers often use noise-cancelling headphones as an effective way to concentrate in open spaces. They help to isolate themselves from external noise. And for some people, music in the headphone improves concentration when performing routine tasks.
  • Limit your time on social media:

4. Optimise your workflow

  • Automate routine tasks: This can increase your efficiency and productivity. To do this, use automation tools to perform repetitive tasks to significantly save time and reduce errors. In addition, Ukrainian startups are already actively developing and implementing business process automation solutions.
  • Use hotkeys: Learn the hotkeys for the apps you use most often and apply them. This will speed up your work significantly.
  • Create templates for frequently used documents or messages. This way, you won't waste time re-creating them.
  • Learn to delegate: Research published in Leadership Quarterly shows that effective delegation can increase productivity for both individuals and teams. If you have the opportunity, delegate tasks that other team members can perform.

5. Use useful tools and technologies

  • Password managers are needed to quickly log in to different sites and not waste extra time. Use managers such as LastPass and 1Password. In addition to speed, they also increase security.
  • Cloud services: To simplify the exchange of information with colleagues, Ukrainian companies are actively moving to the use of cloud services. Such as Google Drive, Dropbox, OneDrive. They provide access to files from any device and optimise work.
  • Note-taking apps: Evernote, OneNote help organise thoughts, ideas, and important information.
  • Time trackers, such as Toggl Track, RescueTime, and others, help you track the time spent on various tasks and analyse your productivity. This will allow you to identify inefficient time spent and optimise your workflow.

6. Take care of your health and well-being

  • Take regular breaks. Short breaks during the workday help to recharge your batteries, improve concentration, and prevent burnout. During your breaks, try to do some simple exercise, or if possible, go for a walk. This will preserve and improve your physical and mental health.

  • Eat right. Make sure that your lunch breaks are at the same time every day. A healthy diet will give you energy and improve brain function.
